1. Data Controller

This policy explains how PT Possibl Teknologi Indonesia ("Possibl" or "we"), as the personal data controller, collects, uses, stores and protects your personal data when you use the Possibl website and app, in line with Indonesian Law No. 27 of 2022 on Personal Data Protection (the PDP Law).

2. Data We Collect

We collect the following data when you use Possibl:

• Account information: Your name, email address and profile photo from the account you use to sign in to Possibl, and your preferred language.
• Country: Your estimated country based on your IP address, used to determine service availability, currency, prices and payment methods.
• Campus email: Your educational institution email address if you complete student verification.
• Media files: The audio/video files you upload for transcription.
• Transcripts: The transcript text generated from your media files.
• TTS scripts: The text you enter to be turned into speech with the Text-to-Speech feature, along with the voice you choose.
• TTS audio: The audio files generated from your TTS scripts.
• Balance and transaction data: Your balance in each currency, purchase history, service usage, bonuses, promos and referral rewards. We do not store your card or bank account details; those are processed directly by the payment provider.
• Referral data: Your referral code and the link between referring and referred accounts.
• Support communications: The content of support tickets, attachments and feedback you send us.
• Share links: The unique token created when you share a transcript publicly.
• Cookies and technical data: Cookies, IP address, browser type and device information, as described in section 8.

3. How We Use Data

Your data is used to:

• Provide AI services, including transcribing audio/video to text and converting text to speech (Text-to-Speech).
• Process payments and manage your account balance.
• Determine service availability, currency and prices for your country.
• Verify student status for special pricing.
• Run the referral and promo programs, and prevent abuse and fraud.
• Enable public transcript sharing when you choose to share.
• Handle your support requests and feedback.
• Keep our systems secure, monitor errors and improve the service.
• Measure the effectiveness of our advertising and marketing.
• Send service notifications (transcript status, payments, verification).

We process your data on the basis of performing our agreement with you (the Terms & Conditions), your consent, compliance with legal obligations, and legitimate interests such as keeping the service secure and preventing fraud.

4. Your Content Is Not Used to Train AI

We never use your content (media files, transcripts, TTS scripts or TTS audio), directly or indirectly, to train AI models. Your content is processed only to provide the service to you.

5. Data Storage and Retention

• Media files (audio/video): Kept for 30 days from the upload date, then deleted automatically.
• TTS audio: Kept for 30 days from creation. Each script keeps at most its last 5 generations, and older ones are deleted automatically as soon as that limit is exceeded, even before 30 days have passed.
• Text transcripts: Kept while your account is active. Transcripts stay available even after the media file has been deleted.
• Support tickets and attachments: Kept while your account is active.
• Account data: Kept while your account is active and deleted once your account deletion request has been processed.
• Transaction records: Kept for as long as tax and accounting regulations require, including after the account is deleted.
• Share links: Stay active until you revoke sharing or delete the related transcript.

6. Sharing Transcripts Publicly

Possibl offers transcript sharing, which lets anyone access your transcript through a unique link without signing in. When you turn this on:

• The transcript text, speaker names and timestamps can be accessed publicly through that link.
• You are fully responsible for the content you share publicly.
• You can revoke sharing at any time from the transcript settings.

7. Data Security

We use SSL/TLS encryption for all data transfers. Media files are stored on secure servers with restricted access. Access to your data is limited to authorised staff who need it for user support, security and service operations. We do not sell your personal data.

If a personal data protection failure occurs, we will notify you and the competent authority in writing within 3 x 24 hours, as required by the PDP Law.

8. Cookies and Similar Technologies

We use cookies and similar technologies for the following purposes:

• Essential cookies: Keep you signed in, remember your language choice, and record the referral link you used when signing up. The service cannot work properly without them.
• Analytics and advertising cookies: We use tools from advertising partners, such as Google, to understand how the service is used and to measure the effectiveness of our ads. For this purpose, limited information, such as your activity on Possibl and your account email address, may be shared with those partners.

You can manage or delete cookies in your browser settings, and manage ad preferences in the account settings of the relevant advertising partner. Disabling essential cookies may prevent you from signing in.

9. Third Parties and Cross-Border Data Transfers

To run the service, we work with third-party providers located in the United States and Singapore. Your data may be processed on servers outside Indonesia solely to operate the service.

We only partner with providers that meet adequate security and data protection standards, including compliance with the European Union's GDPR (General Data Protection Regulation), one of the strictest data protection standards in the world. We do not sell your data to any third party.

10. Your Rights

Under the PDP Law, you have the right to:

• Get information about how your personal data is processed, and access the personal data we hold about you.
• Ask for inaccurate or incomplete personal data to be corrected.
• Ask for a copy of your personal data in a commonly used format.
• Download your transcripts at any time.
• Ask for your account and related data to be deleted, as described in the Account Deletion section of the Terms & Conditions.
• Object to the processing of your data for marketing purposes.
• Withdraw your consent to data processing, noting that the service may not be fully usable afterwards.

11. Changes to This Policy

We may update this privacy policy from time to time. Significant changes will be announced by email or in-app notification. Continuing to use the service after a change means you accept the updated policy.
